Task Editor — the primary management tool
In PayTask, the task editor allows employers to create and configure tasks for their employees. This is a key tool for organizing task tracking and automatically calculating piece-rate wages.
Access to the editor is available via the button "📝 Task description editor" on the task execution page or via a direct link taskseditor.php.
Structure: task groups and tasks
In PayTask, tasks are organized into task groups. A group combines several related tasks that can be marked as completed with a single click. For example, the "Morning procedures" group may contain tasks such as "Check equipment", "Prepare the workstation", and others.
Creating a task group
- Click the "➕ New task group" button in the editor.
- Fill in the required fields:
- Group name — a brief description (up to 256 characters)
- Start time of execution — approximate time of day (format HH:MM)
3, Configure additional parameters:
- Instruction — detailed group description with formatting
- Positions — list of employee positions separated by commas (leave empty for all positions)
- Days of the week — select the days when the group is relevant
4, Set flags as needed:
- Non-daily group — the group will appear in the "Non-daily tasks" section
- Employer confirmation only — employees will not be able to mark tasks
- Hide in report — the group will not be visible in the public report
5. Click "Create task group".
Editing a task group
To modify a group, click the "✏️ Edit" button next to the desired group. All parameters can be changed at any time. Deleting a group moves it and all its tasks to the Trash.
Creating and editing tasks
Tasks are created within groups and contain detailed information for time tracking and payroll calculation.
Basic task parameters
- Task name — required field, brief description (up to 256 characters)
- Payment per completion — fixed amount per task execution
- Payment per minute — if set, a stopwatch appears and a time input field
- Average execution time — used in reports (0-1440 minutes)
- Instruction — detailed description with text formatting
Special task settings
- Show every N days — for periodic tasks (e.g., every 3 days). The task will appear not every day but with the specified interval.
- Important task — marked with a red background and an "Important" badge
- Recurring task — allows specifying the number of executions (e.g., "Completed 5 times")
- Not marked with group — when the entire group is marked, this task remains unmarked
- Hide in report — the task is not visible in the public task report
- Requires improvement — field for notes about needed enhancements
Managing tasks in a group
In the editor, the following actions are available for tasks:
- ✏️ Edit — open the editing form
- 🗑️ To trash — delete the task (can be restored from trash)
- ➕ Add before this — create a new task before the current one
- ⬆️ Move up — change the order within the group
- ⬇️ Move down — change the order within the group
- ➡️ Move to another group — transfer the task to a different group
Additional editor features
Search for tasks and groups
At the top of the editor there is a search field. Enter the task or group name and click the search button to quickly locate the needed items.
Task comments
Comments can be added to each task and group. The "💬" button shows the number of comments. All comments are available in the "💬 Comments summary" section.
Task improvement summary
Tasks that require improvement (where the "Requires improvement" field is filled) are displayed in a special summary. This helps track tasks that need enhancements.
Trash
Deleted groups and tasks are moved to the trash, from where they can be restored. The badge on the trash button shows the number of deleted items.
Tips for effective use
- Group related tasks for easier bulk marking
- Use periodic tasks for work that is not performed daily
- Configure positions in groups to show tasks only to relevant employees
- Specify execution time for more accurate time tracking
- Use instructions for detailed process descriptions
- Mark important tasks with the "Important" flag to attract attention
Link to payroll calculation
All task settings directly affect piece-rate wage calculation:
- Payment per completion is summed for each marked execution
- Payment per minute is multiplied by the actual time spent
- Reports account for average execution time for planning
- Recurring tasks allow counting the number of executions
