What are one-time tasks

One-time tasks in PayTask are tasks that are performed once and do not repeat. Unlike regular tasks, which appear every day or at specific intervals, one-time tasks are created for a specific case and are usually deleted or moved to the trash after completion.

Such tasks often arise in work: a one-time cleaning after an event, a one-time delivery, performing a special order, preparation for an event, etc. Proper accounting of one-time tasks is important for the accurate calculation of piece-rate wages and keeping a history of completed work.

Creating one-time tasks

To account for a one-time task in the piece-rate wage accounting system of PayTask, there are several approaches:

Method 1: Creating a separate group for one-time tasks

If one-time tasks arise regularly, create a special task group:

  1. Go to the Task Description Editor
  2. Click the button "➕ New Task Group"
  3. Specify a name, for example: "One-time tasks" or "One-time assignments"
  4. Select all days of the week (tasks will be available on any day)
  5. Check the flag "Non-daily task group" — this will place the group in a separate section
  6. Save the group

Now you can add one-time tasks to this group as needed. After completing a task, you can delete it (or rather move it to the trash) or leave it for history.

Method 2: Adding to an existing group

If a one-time task is logically related to an existing group, add it there:

  1. Open the desired group in the task editor
  2. Click "➕ New task in this group"
  3. Fill in the name and task parameters
  4. Set "Show every" = 1 day (default)
  5. Specify payment for completion or per minute
  6. Save the task

After completing a one-time task, you can delete it from the group without affecting the other tasks.

Setting up payment for one-time tasks

For one-time tasks, it is important to set up payment correctly to ensure accurate accounting of piece-rate wages:

  • Payment for completion — specify a fixed amount if the task has standard complexity
  • Payment per minute — use for tasks with variable execution time (for example, a one-time cleaning of a room of different sizes)
  • Combined payment — you can specify both payment for completion and payment per minute simultaneously

Example: for the one-time task "Deliver documents to the office", set payment for completion of 200 rubles. For the task "One-time warehouse cleaning", it is better to use payment per minute, as the time depends on the size of the warehouse.

Executing one-time tasks

One-time tasks are executed in the same way as regular tasks:

  1. Go to the task execution page
  2. Find the one-time task (it will be in the "Non-daily tasks" group if the group is marked with the corresponding flag)
  3. Mark the task as completed
  4. If the task has payment per minute set, specify the actual time spent
  5. If the task is multiple, specify the number of executions

After completion, the task is automatically accounted for in the wage report and task report. The execution history is saved in the system, even if you delete the task.

Managing one-time tasks after completion

After completing a one-time task, you have several options:

Option 1: Deleting the task

If the task is no longer needed, delete it:

  1. Go to the Task Description Editor
  2. Find the task in the group
  3. Click the button "🗑️" (To Trash)
  4. Confirm deletion

The task will be moved to the trash, from where it can be restored or deleted permanently. The task execution history will remain in the reports.

Option 2: Leaving the task for history

If you want to keep the task for reference or possible reuse, simply leave it in the group. The task will not be shown on the execution page if it has already been completed on the current day, but will remain available in the editor.

Option 3: Moving to trash with subsequent restoration

If a one-time task may be needed in the future (for example, "Preparation for a New Year's event"), move it to the trash. If necessary, you can restore the task from the trash and use it again.

Features of accounting for one-time tasks

When working with one-time tasks, consider the following:

  • Execution history is saved — even after deleting the task, information about its execution remains in the wage report
  • Payment is accounted for automatically — a completed one-time task is included in the calculation of piece-rate wages for the corresponding period
  • Execution time is recorded — if the task has payment per minute set, the actual time spent is saved and used for calculation
  • Multiple executions — if a one-time task can be performed several times in one day (for example, "Accept one-time orders"), enable the flag "Allow specifying the number of times to execute"

For effective accounting of working time and process management, follow these tips:

  • Create tasks immediately — do not delay creating a one-time task so as not to forget to account for it in the salary
  • Use clear names — the name should clearly reflect the essence of the work so that the employee understands what needs to be done
  • Provide instructions — for complex one-time tasks, add detailed instructions on how to perform them
  • Regularly clear the trash — periodically check the trash and permanently delete tasks that will definitely not be needed
  • Group similar tasks — if one-time tasks are related to each other, create a separate group for them

Examples of using one-time tasks

One-time tasks are suitable for the following situations:

  • One-time assignments — delivery of documents, purchase of materials, performing a special order
  • Preparation for events — decorating the premises for a holiday, preparation for an event
